Preparing and Printing Account Journals

An Account Journal is a filtered view of your Audit Trail - filtered to show only those transactions that affect one Account. Please refer to What is an Audit Trail and Journal? for more detailed background information.

Accessing Account Journals

Start the General Ledger Manager.
Drill down to the Account whose Journal you want to view.
Highlight the Account.
Click the View tool, or click the right side summary hyperlink.

Load the General Ledger Manager.
Click the Print menu button.
In the left hand pane select the account journals you want to print by clicking the check box beside the account in the tree-view.
In the right hand pane set the start and end date for the journals.
Click the Print menu button and choose to print to paper or save to PDF.

Using the Account Journal

Start Date: Use this tool to set the starting date for the Journal period you want to see. When the Journal first opens it defaults to showing all Journal activity for the previous week. This is simply to keep the amount of data displayed manageable.
End Date: Use this tool to set the ending date for the Audit Trail period you want to see.
Refresh - Use this tool to refresh the Audit Trail after setting the Start and End Dates.
Print - Use the print tools to print or print preview the active Audit Trail.
Export - Use this tool to export the active Audit Trail to a file.
Filter - Some accounts provide a filter option. You can check this box and filter the data for a sub account.

The Account Journal's date column displays the date and time to the millisecond when the transaction was posted.
The Description is the software's description of the line. Its descriptive enough to allow you to determine where the line came from.
The Amount column displays the amount posted.
The Account Total at the bottom of the Audit Trail displays the total in the Account for the period you set. Note that the first line of the Account Journal is an Opening Balance line, which displays the total of all Account activity which preceded the Start Date.

NOTE: Because the first line of the Account Journal is an Opening Balance line, which displays the total of all Account activity which preceded the Start Date, if the End Date is set to the current date (as it is by default), the Account Total will be identical to the total displayed on the Trial Balance.
