Text Messaging Setup

• To use the text messaging feature, you will need an account with Swift SMS Gateway. Once you establish an account with them they will provide you with an account key.
• You will need to contact support to have the text messaging feature enabled in the software. It is not on by default.
• Service URL: https://secure.smsgateway.ca/services/
• Account Key: Enter the account key provided by Swift SMS Gateway.
• Enabled: Click this check box to enable text messaging.
• Notify Message Group: Select the message group that will receive incoming texts not initiated by a previous conversation.
• Automatically sent text messages: allows you automate message that would be automatically sent on specific events.
• After invoice is posted: Check the check box if you wish to have a message automatically sent when an invoice is posted. Enter the message you want send in the provided text area. Hover your mouse on the preview icon to see what your text message would look like.
• After appointment is booked: Check the check box if you wish to have a message automatically sent when an appointment is booked. Enter the message you want send in the provided text area. Hover your mouse on the preview icon to see what your text message would look like.
• After a work order is created: Check the check box if you wish to have a message automatically sent when a work order is created. Enter the message you want send in the provided text area. Hover your mouse on the preview icon to see what your text message would look like.
• After an estimate is created: Check the check box if you wish to have a message automatically sent when an estimated is created. Enter the message you want send in the provided text area. Hover your mouse on the preview icon to see what your text message would look like.
• After a work order is deleted: Check the check box if you wish to have a message automatically sent when a work order is deleted. Enter the message you want send in the provided text area. Hover your mouse on the preview icon to see what your text message would look like.

Setting up text templates allows you to have messages you can select from a list when sending messages to reduce the amount of typing required for common messages that you may send. As an example, you may wish to have a template that simply reads: Your vehicle is ready and can be picked up today before 5PM.

 

To add a template:

• Select Text Templates under the Text Messaging node in the left window pane.
• Click the Add button located in the action group of the ribbon.
• Enter a name for the template in the Name text box. This will be the name that is visible to you when deciding what template to select from a list when sending.
• Enter the text that you want to be part of your message template in the Text text box.
• You can see what your text will look like in the Preview.
• Click the OK button.

 

To edit a template:

• Select Text Templates under the Text Messaging node in the left window pane.
• Select the template you wish to edit from the list in the right window pane and then click the Edit button located in the action group of the ribbon. Alternatively, you can double click on the template in the list to open it for editing.
• Edit the name for the template in the Name text box. This will be the name that is visible to you when deciding what template to select from a list when sending.
• Edit the text that you want to be part of your message template in the Text text box.
• You can see what your text will look like in the Preview.
• Click the OK button.

To delete a template:

• Select Text Templates under the Text Messaging node in the left window pane.
• Select the template you wish to delete from the list in the right window pane and then click the Delete button located in the action group of the ribbon.
• Click the Yes button to confirm.
