Preparing Statements

The software can automatically prepare statements for you at any time but they are typically prepared at month end. The statement detail will contain the contents of the receivable account up to the date you specify. Statements may be sent by email or post.

To Prepare Statements

  1. Click on Tasks.

  2. Click on Monthly.

  3. Click on Prepare Receivable Statements. The prepare receivable statements dialog appears.

  4. Select the End Date. The end date will determine the cut off date for detail to be included on the statement.

  5. To exclude Inactive Accounts, remove the check mark.

  6. To exclude $0 Balance Accounts, remove the check mark.

  7. To select a contact category, choose from the Contact Category drop down list.

  8. To select the delivery method:

    1. Individually check the email or post checkbox for each contact, or

    2. Click on Select for more options:

      • All Email will check the email option for all contacts with email set as their preferred method of contact in the contact card.

      • No Email will un-check the email option for all contacts.

      • All Post will check post for all contacts.

      • No Post will un-check the post option for all contacts.

      • Email From This Point On will check the email option for all contacts with an email address from the selected contact on.

      • Post From This Point On will check the post option for all contacts from the selected contact on.

  9. Click on Prepare. Statements set to Post will be printed and statements set to email will be sent via email.

  10. If you are printing any statements, select your Printer if different than you default settings.

Important: When using enterprise receivables, prepare consolidated statements from the head office location.

Tip: You can control the order in which the statements print by sorting the data before preparing the statements. Click on the heading of any filed to sort on that field. Click the same heading a second time to reverse the sort order.
