Contact Card Properties Tab

The properties tab of the contact card contains options to categorize the contact to reflect the relationship between your business and them. It also contains settings regarding pricing and accounting defaults.

Contact Categories

Click on the check boxes that pertain to the contact.

Employee - A contact set to <Employee> will appear in the payroll system.

Misc Supplier - A miscellaneous supplier is one that provides other products and services to the business other than parts that are resold on work orders. Examples of this would include the telephone company and outside towing services.

Parts Supplier - A parts supplier is one that provides parts to your business which are resold on invoices directly or for inventory.

Client Access - Allows you to assign a password and access rights to the contact so they may use your Software System.

Service Advisor - A contact who writes up work orders documents.

Supplier Connection - A supplier that you can order parts from through the online ordering system.

Technicians - Contacts that are credited for production labor operations on work orders.

Note: There may also be user-defined categories present to choose from.

These are three extra data fields that can be used for any purpose. They do not appear on any reporting provided by the software.

Labor Buy Levels

Locked Labor Rate allows you to set a unique labor rate for this contact. You can select which of your standard labor rates are to be used for this contact using the smart label or you can manually type in a rate which will be used in lieu of your standard labor rate levels.

Discount Labor allows you to discount the labor rate by a percentage for the contact.

Apply to discounted service packages allows you to specify whether to give the existing labor discount on-top of any discounted service packages. When checked, you will give a discount on an existing discount.

Material Buy Levels

Buy Material At allows you to specify which buying level to use for the contact. This is used for items sold from inventory only.

Further Discount Materials allows you to discount all materials sold by a percentage for the contact.

Apply to discounted service packages allows you to specify whether to give the existing material discount on-top of any discounted service packages. When checked, you will give a discount on an existing discount.

Accounting

Receivable Account Limit allows you to specify the credit limit for the account. This limit is enforced at point-of-sale. If this field is $0 then no charge privileges are given to the contact. If the current invoice will result in exceeding the account limit it will not allow the invoice to be posted.

Service Charge Rate is the rate at which overdue items will be charged when service charges are applied.

Receivable Purge Method allows you to specify whether the accounts receivable is to be balance forward or open item.

Payable Purge Method allows you to specify whether the accounts payable is to be balance forward or open item.

Balance Forward: Purges detail older than 30 days from the selected purge date and brings the balance of those details forward.

Open Item: Purges detail older than the selected purge date that has been applied and holds a $0 balance. Any detail with balances other than $0 remain.

Default Payable Due Terms - When checked, the location default settings will be used.

Payable Due Interval - Allows you to set the default amount of days before the supplier invoice is due from the posting date.

Payable Due Date - Allows you to set the number of days after the beginning of the upcoming month before the supplier invoice is due.

Advanced

PO Required - When checked, invoices can not be posted without specifying a purchase order number.

Do Not Mail - A contact marked as do not mail will be exempt from receiving correspondence. This is automatically turned off when a customer unsubscribes from an email reminder sent to them via the built in CRM program. It also works on Thank You, Reminders, and Customer Follow Reports. It does not apply to Future Work / No Show Reports because Future Work / No Show can be used for other than just mailing purposes.

Online Order

The Software can provide wholesalers with an e-commerce site for their customers that is integrated to the software. Our developers design and build a web store for you and when your customer place the order on the web it appears in the software's work in progress manager automatically within seconds. It also provides feedback and status of the order to the customer as it is being processed.

This solution is ideal for tire shops that wholesale to other shops.
