Emailing Purchase Orders

1. Email the Purchase Order (as described below),

2. Print the Purchase Order and fax it, or

3. Phone the order in, and mark it as 'placed'.

1. Open the Purchases Manager.

2. Navigate to the applicable Purchase Order.

3. Be certain it is correct.

4. Choose Send the Order | Email from the toolbar.

5. Complete the Email: Purchase Order dialog (see below).

6. Note that after the email is successfully sent, it will be marked as 'Placed' in the Purchases Manager.

• The 'To' email address will default to the 'Mail To' email address on the part supplier's contact card.

• You may over-type the 'To' address or search for any email address in your contact list using the usual techniques.

• You may enter a 'CC' email address if required.

• The 'Subject' field will default to the Purchase Order number plus " from " plus your company name.  You may edit this if required.

• A PDF(Adobe® Portable Document Format files allow Protractor email recipients to view documents exactly the way they were originally printed in your shop; its very similar to emailing a photocopy of the original document.)  version of the P.O. will be attached to the email by default. You may remove it if you want.

• You may attach any extra computer files using the 'Attach File' tool. (See Sending Email Attachments)

• Use the 'Msg Prefix' text entry area to type a message if required. The message prefix will appear in the body of the email above the HTML version of the document. It's a good idea to use the spell check tool here. A good use of this area would be to add details of a vehicle (if the parts ordered are for a specific vehicle).

• Use the 'Preview' tool to see the document exactly as your parts supplier will see it.

• When the email looks exactly as you want it, use the 'Send' tool to send it out.

TIP: You may enter more than one email address in the To or CC fields - simply separate multiple email addresses using a semi-colon or comma.
