Service Package Material Lines

Description: Describe the part in the top description box.

Part Number: Most part numbers (such as oil filters) will be unique to the vehicle being serviced. However items such as premium engine oil, or windshield washer fluid (which are not unique to vehicle types) may be assigned part numbers in the Service Package. You may use the Materials tool from the toolbar to search your materials inventory for the applicable part number.

If you would like your Service Advisors to search for or modify the part number every time this Service Package is added to a Work Order, click the Part Number Required when Invoicing checkbox (to the right of the part number). When its checked, the part description will appear magenta on Work Order documents, and Invoices may not be posted until its unchecked by the Service Advisor.

Catalog Search: Part numbers may be programmed to dynamically search the catalog for the proper part for the vehicle currently being invoiced.  This is done using a reference to the software's online Electronic Catalog.

To enable this feature, use the Parts Catalog tool to look up a description string for this part. When this Service Package is eventually added to an invoice - and the actual vehicle is known - the part number and price may be easily updated for the actual vehicle being serviced by referencing the electronic catalog using this description string and the vehicle details.

Essentially this feature simply allows you to lookup and save the proper part description (as it's seen in the electronic catalog) in advance, saving time at invoice generation time. It also enables very quick online inquiries and orders. (See The Supplier Connection for details.)

Tip: If you have multiple catalogs configured, it is recommended that you disable all but the most frequently used catalog and build your automatic searches for it. Not all catalogs use the same search criteria or terminology. You may also enter the text in manually if you prefer.

Quantity and Prices: Click the down arrow to choose a per unit price for the material line. You can choose one of your four sell price levels (if this in an inventory item), or select Fixed Rate or Fixed Total.

The four preset price levels match the four sell prices on materials inventory file cards.

If you select the Fixed Rate option, the software will allow you to enter any amount as the per unit rate for this material line, and will use the quantity entered to calculate the total dollars for the materials line.

If you select the Fixed Total option, the software will prompt you to enter a total dollar amount for the materials line and the software will recalculate the per unit amount.

If you would like your Service Advisors to modify the material line's quantity every time this Service Package is added to a Work Order, click the Qty Required when Invoicing checkbox (to the right of the quantity line). When its checked, the materials line quantity will appear magenta on Work Order documents, and Invoices may not be posted until its unchecked by the Service Advisor. This is especially useful for items such as engine oil, which change for different engine types.

To apply a discount to this individual material line, specify any Hard Amount (a set dollar discount) or Percentage discount to be applied directly to this material line total. The default is No Discount.

NOTE: Discounts to individual material lines are also affected by discounts applied to the entire Service Package. Refer to the Discounts on Service Packages topic for details.

Note that the Material Line charges tab is applicable only when authoring and maintaining Location Service Packages.

Select the check boxes for all taxes or other types of charges that will apply to this package by default when its added to a Work Order. This list of charges is set up using the Location Taxes & Other Charges dialog.

Select the check boxes for the information that should be displayed when this Service Package material line is placed on work orders:

• Display the quantity.

• Display the per item rate.

• Display part number.

• Display the size field.

• Display the supplier's name.

• Display the price reduction if the shops highest rate is not used.

• Display MSRP
