Workstation Defaults Appointments Tab

TIP: The default appointments and promised time options are explained in detail in the Workflow Management Tour Part 2.

Appointments and Promised Time Defaults

This tab allows you to set up the Appointments and Promised Time Defaults for your workstation only.  Your choices here will be determined both by personal choice and by the nature of your business.

Use scheduler to set up appointment date: This toggle allows you to set the software to basic or advanced scheduling. Check this box to use the advanced scheduler.

Display Competed Work: If this box is checked then completed work will be displayed in the unassigned work items column of the daily view.

Appointment takes at least x.xx hours: Allows you to set the default time allotted for a scheduled visit. It can be edited when scheduling the visit.

If your business does mostly quick lubrication jobs while your customer waits, you may decide to default all your appointments to 1 hour using the top checkbox.

If you like to have your customers drop off their vehicles in the morning and pick them up at the end of the day (or a number of days) set it up with:

Appointment date +  number of days at time.

If you have the vehicle for a number of days and / or hours set it up with:

Appointment date +  number of days + hours.

These options allow you to default your promised times to any option you prefer.

Promised Time Warnings

If you choose to have the software warn you when the Promised Time is within 2 hours, today’s jobs in the Work In Progress Manager are displayed in these colors:

So Service Advisors can see at a glance which jobs are getting close to, and past their Promised Times.
