There are two ways to record checks in the software. You can issue manual checks and record their check numbers or you can print them directly from the system. Check writing is an integral part of the software's tightly integrated accounting system. When you pay bills, you have the option to choose the form of payment. When you select check, the check writing screen is presented and the check is recorded in the appropriate bank account.
To configure bank accounts for check writing, review Setting up Bank Accounts.
The software uses standard check formats. You can choose from voucher style or coupon style. You can view a list of approved supplier on The software's website.
When you choose to write a check, the check writing dialog appears with parameters and options.
No/To Be Printed - If the check is to be printed then the check number will be assigned during the next check run. If you are writing manual checks enter the check number and un-check the To Be Printed checkbox.
Date - Click on the date to specify a different date.
All Locations - Check this box when you will be searching from a payee across all business locations.
One Time Check - Check this box if you will be manually typing in the payee and address for a supplier that is not in file.
Pay To The Order - Type in for a one time check or search contacts to retrieve the information. This information will be automatically filled in when paying directly from a supplier account.
Amount - The amount of the check will be filled in automatically from the prior dialog.
Address - Enter the address manually for a one time check. For an existing contact, the address will be retrieved from the contact manager.
Memo - Check memo text. This will be entered as the description of the transaction in the bank account and printed on the check.
Once checks have been recorded in the system they await a check run to be printed. Only checks that were selected To Be Printed by the software will be processed.
Click on Tasks.
Click on Monthly.
Click on Print Checks. The select checks to print dialog will open.
Select the Bank Account to print check for. All checks waiting to be printed are listed.
Select the checks to be printed by checking the boxes under the Print column. You may select all or none by using the buttons at the tope of the dialog.
Enter the First Check number.
Click the Print button.
Select the Printer and Check Style to be used.
Click the Print button.
Once all checks have been printed correctly, click Confirm. Un-check those that did not print correctly and you can run the process again.
Tip: Checks waiting to be printed are recorded in the bank account with <To Be Printed> as the check number. Once printed, they are updated to reflect the proper check number.
Check Styles: The software prints coupon checks , voucher checks , and the new CPA2006 format .
Once a check is posted it has to be reversed using the GL Adjustment tool. You will deposit the money back into the bank account and return it to the account from which it came.
